But the most serious threat is and always will be the threat to the organization’s most important asset – its reputation. To protect the organization from reputational threats requires careful, thoughtful, detailed planning and a methodology for inculcating a culture of organizational crisis preparedness,In this two-day seminar, you will learn how to prepare the organization for inevitable threats to reputation, execute the crisis communications plan, then,when the crisis has passed, assess and do what must be done before the next threats occur.

This is a two-day, 16-hour class, divided between lecture and practical

exercise. We’ll examine:

• The role of the crisis communications plan as part of the business continuity program

• Definitions of “crisis”

• The ten types of crisis scenarios

• Identify crisis leadership qualities and the effects of stress

• The value of preserving an organization’s reputation

• How reputations are strengthened and weakened

• What to do and what to avoid when responding to a crisis event.

• How to assess communications performance before, during and after a communications crisis.

Course Outline:

Crisis basics

The class will begin with a discussion of how crisis communications fits within an organization’s business continuity program. Then we’ll examine how the concept of crisis, which is really a euphemism for “severe change,” affects an organization. We’ll define crisis, learn to distinguish a crisis from a disaster, then discuss in some detail the ten basic crisis scenarios. To understand crisis communications, one must understand how instinct serves you poorly in a communications crisis (HINT – instinct serves us poorly). Then we’ll look at crisis communications do’s and don’ts, followed by the thinking behind crisis communications strategies. Change doesn’t have to be a villain,just a misunderstood activity. We will work to understand the role of “change” in an organization, then apply that to forming the basic strategies of internal communications. Then we’ll examine crisis leadership qualities and the effects of stress – how it can exacerbate any crisis.

Reputation

The concept of reputation and its vulnerabilities is essential to crisis communications planning. We’ll examine the value of preserving an organization’s reputation then examine how reputations are strengthened and weakened.

The spokesperson’s role in a crisis

The spokesperson is the person who runs into the “burning building” as everyone else is running out. To manage that person, you must first understand the importance of media training for a spokesperson as you learn the attributes of a spokesperson

Message development

Developing the right message for the right audience at the right time is as much an art as a science. We’ll prepare you for the science part. In the practical exercises, you’ll develop the art. You’ll learn how to construct strong, common-sense, provable messages that you can deliver and defend.

The Crisis Communications Team

The Crisis Communications Team executes the plan, but the members are often unwilling, untrained or otherwise unprepared to accomplish their vital tasks. We’ll discuss the membership of the team and the individual roles of each member.

Writing the Crisis Communications Plan

The second day of the class will be spent on the details of construction of a crisis communications plan. We’ll list the essential elements that should be included in a crisis communications plan and show you the specific questions you must ask and documents you must examine to construct a plan. We will identify in great detail what to do and what to avoid when responding to a crisis event. Then we will prepare a sample crisis communications plan, either for the student’s organization or a course simulation. Lastly, we will discuss how to assess communications performance before, during and after a communications crisis.

Takeaways

Students will take away a detailed, first-rate, fill-in-the-blanks crisis communications plan and the knowledge to fill blanks. They will also be given a detailed checklist for evaluating communications performance in a crisis.

Module 1: Understanding Your Organization

To be able to develop an appropriate Business Continuity Management program you must first understand your organization and what activities or processes are essential to ensure continuity of business critical activity to at least a minimum level. BCM must be owned and fully integrated into the organization as an embedded management process. Understanding Your Organization takes a close look at the major elements or the cornerstone of developing a business continuity program for your organization including the Business Impact Analysis and the Risk Assessment. This two-day instructor-led course is the first in a series of five that make up Essentials of Business Continuity Management.

BCM Program Development

BCM Program Development is a half-day instructor-led workshop that provides an overview of the business continuity management program development process with a focus on gaining executive support as demonstrated by policy development. It will also include a review of the regulations that drive much of BCM program development as well as project management strategies related to business continuity planning. BCM Program Development is part of the Essentials of Business Continuity Management series.

The Business Impact Analysis

The Business Impact Analysis is a one-day instructor-led workshop that introduces the reasons for and value of conducting a Business Impact Analysis. Attendees will understand methodologies, terms and definitions such as Mission Critical business processes, Recovery Time Objectives (RTO), and Acceptable Exposure to Loss in order to understand the BIA process for their organization. Organizational Crisis Preparedness is the overview course in the Crisis Management and Communication discipline. This course lays the groundwork and provides the foundation for becoming certified in Crisis Management and Communication.
